Cancellation & Refund Policy – ClearEast Trip

ClearEast Trip believes in transparent, fair, and responsible travel practices. This Cancellation & Refund Policy is designed keeping in mind the operational realities of travel in Northeast India, long-duration tours, advance supplier commitments, and customer trust.
Travel in Northeast India often involves restricted areas, permit approvals, weather-dependent routes, and limited infrastructure. Guests are therefore requested to read this policy carefully before confirming their booking.
1. Booking & Payment Confirmation
A tour booking with ClearEast Trip is considered confirmed only after receipt of the required advance payment, as communicated at the time of booking.
The advance payment allows ClearEast Trip to block hotels, vehicles, local guides, permits, and other essential services in advance.
The remaining balance amount must be paid as per the payment schedule shared at the time of booking confirmation.
Failure to make payments within the specified timeline may result in automatic cancellation, and applicable cancellation charges will apply.
2. Cancellation by the Customer
All cancellation requests must be submitted in writing via email or official communication channels of ClearEast Trip.
The date of receipt of the written cancellation request will be treated as the official cancellation date.
Verbal discussions or informal messages will not be considered valid cancellation requests.
Cancellation Charges (per person):
30 days or more before tour start date:
10% of the total tour cost will be deducted as administrative charges.
90% of the total tour cost will be refunded.
15–29 days before tour start date:
30% of the total tour cost will be deducted.
70% of the total tour cost will be refunded.
7–14 days before tour start date:
50% of the total tour cost will be deducted.
50% of the total tour cost will be refunded.
Less than 7 days before tour start date:
100% of the total tour cost will be deducted.
No refund will be provided.
No-show or failure to report on the tour start date:
100% of the total tour cost will be deducted.
No refund will be provided.
3. Non-Refundable Components
Irrespective of the date of cancellation, the following components are non-refundable once booked or issued:
Inner Line Permits (ILP), Restricted Area Permits (PAP), or any government-issued permits.
Flight tickets, train tickets, or third-party transport tickets.
Safari bookings, adventure activities, cultural experiences, or special event bookings.
Peak-season, festival, or special hotel bookings with strict cancellation terms.
Any third-party service governed by separate cancellation policies.
Such charges will be deducted from the refundable amount, even if the cancellation is made well in advance.
4. Early Departure & Unutilized Services
No refund shall be provided for early departure from the tour.
No refund will be issued for missed sightseeing, unused hotel nights, or unutilized transport services.
No refund will be applicable for services not used due to personal reasons, illness, or voluntary itinerary changes by the traveler.
5. Refund Process & Timelines
Eligible refunds will be processed within 7–14 working days from the date of cancellation confirmation.
Refunds will be credited to the original mode of payment only.
Bank charges, payment gateway fees, or currency conversion charges (if any) will be deducted.
Refund processing is subject to receipt of funds from hotels, transporters, and other service providers where applicable.
6. Rescheduling Policy
Tour rescheduling requests are subject to availability and operational feasibility.
Rescheduling charges, if applicable, depend on supplier cancellation and rebooking policies.
Rescheduling requests within 7 days of tour commencement are not permitted, except in exceptional circumstances at the sole discretion of ClearEast Trip.
7. Cancellation or Modification by ClearEast Trip
ClearEast Trip reserves the right to cancel or modify tours due to natural calamities, government restrictions, permit issues, road conditions, safety concerns, or operational constraints.
In such cases, ClearEast Trip will offer a refund of unused services after deduction of non-refundable third-party costs, or an alternative tour plan or revised travel dates, subject to mutual agreement.
No additional compensation shall be payable beyond the refund of the unused portion of the tour.
8. Force Majeure
ClearEast Trip shall not be held liable for delays, cancellations, or changes caused by events beyond its reasonable control, including natural disasters, political unrest, government advisories, pandemics, road blockages, or infrastructure failures.
Refunds in such cases shall be governed strictly by supplier refund policies.
9. Customer Responsibility & Acknowledgement
Guests are responsible for carrying valid identification documents required for hotel check-ins and permit approvals.
Guests are advised to assess their health and physical fitness before booking tours involving high altitudes or remote locations.
By confirming a booking with ClearEast Trip, the customer acknowledges that they have read, understood, and agreed to this Cancellation & Refund Policy in full.
